Depending on your relationship with us, we may collect contact and identity details, property and tenancy information, financial and payment records, referencing and right-to-rent information, correspondence, inspection and maintenance records, and information needed to manage a tenancy or resolve a dispute.

We use personal information to respond to enquiries; provide agreed lettings and management services; market properties and arrange viewings; assess applications; prepare, administer and end tenancies; collect rent and protect deposits; coordinate inspections, repairs and safety obligations; keep financial and business records; manage complaints and disputes; and meet our legal and regulatory duties.

We process information where it is necessary to take steps at your request or perform a contract, comply with a legal obligation, or pursue our legitimate interests in operating and protecting our business and delivering effective property services. We rely on consent where the law requires it, and you may withdraw that consent at any time.

Where necessary, we may share relevant information with landlords, tenants and applicants; referencing and identity-check providers; deposit-protection and redress schemes; contractors, inventory providers and professional advisers; utility providers and local authorities; payment, accounting, software and IT suppliers; regulators, courts and law-enforcement bodies. We share only what is reasonably required and do not sell personal information.

We keep information only for as long as it is needed for the purpose for which it was collected, including any legal, accounting, safeguarding, complaints or dispute-resolution requirements. Retention periods vary according to the type of record and our relationship with you, after which information is securely deleted or anonymised.

We use appropriate organisational and technical measures to protect personal information. If a service provider processes information outside the UK, we require an appropriate lawful safeguard for the transfer.

Depending on the circumstances, you may ask us for access to your information, to correct or erase it, to restrict or object to its use, or to provide certain information in a portable format. Where processing is based on consent, you may withdraw it. Some rights are subject to legal conditions and exemptions.

Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
